Minutes of L&R Committee meeting of 26 September 2011

Draft Minutes of the Leisure and Recreation Committee of the Parish Council

held in the Village Hall on Monday 26 September 2011 at 7.15 pm
 
Present: Mrs Sara Murray (Chairman), Mr James Mansfield, Mrs Anna Yalci, and Mrs Sue Hine.
 
Also present: Mrs Tian Davidson (Clerk), Mrs Natalie Crawford, Mr Paul Taylor, Mr Adrian Carey, Mrs Stevie Blitcliffe 
  1. Apologies for absence: None.
  2.  Declarations of Interest: None.
  3. Public questions and statements: None but see reports below.
  4. Minutes of the last meeting 27 June 2011: Approved and signed as true record by Mrs. Murray.
  5. Matters arising from the minutes of the 27 June 2011:
    1. Letter of agreement between Council and the Dick’s family has been sent
  6. Reports were received of activity and financial matters from the following organisations

Appleton Tennis and Recreation Club Committee – reported by Mr Carey:

  1. Membership continues to grow;
  2. Decided to get informal legal advice regarding the change in constitution but will need an EGM; AGM planned for in Jan/Feb 2012;
  3. Antisocial behaviour previously reported has been addressed;
  4. Finances are sound; and
  5. To report bank balance and/or financial report at the next meeting 

Appleton Playground Committee – reported by Mrs Crawford:

  1. Grant of £50k to come from WREN provided we send £5k third party funding received from Vale Housing and they have received the £500 from Appleton Community Shop Ltd;
  2. Landscape architect has been engaged to assist in tendering process;
  3. Lease has not been signed;
  4. Report on timetable of seeding, drainage considerations and groundwork; and
  5. To provide financial statements at the next meeting and to chase up all promises of money. 

Appleton Sportsfield Committee – reported by Mr Taylor:

1         Reported the use of sportsfield by Men’s and Ladies Football teams;
2         Finances are OK;
3         Ongoing problem with delivery of Oil as the tank is indoors but problem would be solved with an external filler - £350 in the budget;
4         Renovations to the shower room required; water leaking into the changing rooms. Costing provided of £2,100. Insufficient funds to do the work; and
5         Need an update of financial statements at the next meeting.
 
7.      White Horse Contractors Ltd: Quotation of £4,918 plus VAT to treat the playground site – to be considered at full Council meeting following this meeting.
 
8.      Appleton Playground lease agreement: Progress was discussed.
 
9.      Constitution changes of the Appleton Tennis and Recreation Club: Agreed that the Tennis Club would report next month after seeking legal advice.
 
10.  Applying for funding: Committee considered applying for grants to Coco-cola and Pepsi.
 
11. Date of next meeting: Agreed to be held on Monday 5 December 2011 in Village Hall at 7.15pm
